A post event review is required for events that received funding or sponsorship from the Central Coast Council Tasmania.
The last patron left the event site, the pack-up is done, and the volunteers have returned home. The event is finished…almost. It is now time for the final phase, the post event review.
A post event review or evaluation is a handy tool that offers the event organiser an overview of the event, including attendance, demographics, final budget, and feedback from stakeholders and attendees. It is a crucial step that allows the event organiser to reflect on the event, learn what worked well and what didn’t and what to do next time. An event review template can be provided by the Community Development Team.
There are several ways to evaluate the outcomes of the event; some are done during the event, others afterwards.
Tracking the number of attendees and other data. This may be obvious, but it is important to keep track of how many attendees attended the event and how engaged they were. Surveying attendees. Survey your attendees either online after the event or in person at the event.
Measuring economic impacts.
Measuring, recording, and reporting the economic benefits of the event is vital for maintaining support, particularly from government agencies, grant bodies, or private enterprises that want to know the economic benefits of the event.
Evaluate the event. Review the vision and goals for the event you established at the beginning. Did you achieve them? What worked well, and what didn’t?
Keeping your friends. The partners and sponsors who worked with you should be encouraged to keep supporting you in the future. Debriefing your stakeholders and building on those relationships is imperative.
Consider your volunteers.
Volunteers play a major role in events, particularly community events. Not only are they invested in the event, but they are also on the ground and can give valuable insights.
Building on success. Keeping your event fresh and exciting is vital for success, but don’t forget the roots of who and what the event is. Did you meet your objectives, and what could be improved next time?
An event review is not just about discussing what happened at the event; it is more about learning, improving, delivering a better experience, and helping you plan for the next time.
